Assured Vehicle Movement & Storage ("Assured Group", "we", "us") is the data controller for the personal information described in this policy. We are committed to protecting your privacy and handling your information in line with the UK GDPR and the Data Protection Act 2018. This policy explains what we collect, why we collect it, who we share it with, how long we keep it, and the rights you have.
Information we collect
Information you give us
Your name, email address, telephone number, postal or collection and delivery addresses, the service you're interested in, dates you need, and anything else you choose to tell us in an enquiry, careers registration or delivery quote.
Information about your vehicle
Where relevant to the service — registration, make and model, condition notes, photographs taken at collection, storage or delivery, and movement records.
Information collected automatically
Basic technical information when you use this website, including a one-way encrypted form of your IP address used only to prevent misuse of our delivery quote calculator. We do not use advertising or profiling cookies.
Our lawful bases for using it
Under UK GDPR we must have a lawful basis for each use of your information. Ours are:
Contract — To provide the storage, transport, refurbishment, replacement vehicle and end-of-lease services you or your organisation have asked us for, and to take steps before entering into an agreement.
Legitimate interests — To respond to enquiries, produce delivery quotes, keep records of vehicle movements, protect our website from misuse, and manage and improve our business — balanced against your rights and freedoms.
Legal obligation — To meet accounting, tax, health and safety, insurance and vehicle-related legal requirements.
Consent — Where you have opted in, for example registering an interest in working with us. You can withdraw consent at any time.
Who we share it with
We never sell your personal information. We share it only where it's needed to deliver our services or meet our obligations, with:
- Our drivers, transport partners and subcontractors, only as needed to carry out a collection or delivery
- The dealership, leasing company, fleet operator or insurer instructing us on your behalf, where applicable
- Professional advisers such as accountants, insurers and legal advisers
- IT and hosting suppliers who operate our website, database and email systems under contract
- Regulators, law enforcement or other authorities where we are legally required to do so
How long we keep it
We keep personal information only for as long as we need it:
- Website enquiries: up to 24 months from your last contact with us
- Careers registrations: up to 12 months, unless you ask us to remove them sooner
- Delivery quote records: up to 12 months, used to run and protect the calculator
- Customer and job records: 6 years after the end of the agreement, to meet accounting and legal requirements
How we protect it
We use appropriate technical and organisational measures to keep your information secure, including encrypted connections to this website, access controls so staff only see what they need, and hosted systems operated by reputable suppliers under contract.
Our website and databases are hosted within the UK or EEA. If information is ever transferred outside the UK, we ensure appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement are in place.
